How to write the header of a business letter

If you are writing a letter to a company, you should start correctly. As you know, a business letter is very different from a note to your best friend or a thank you card to a co-worker. It is necessary that you address the right person and in the proper manner. Writing this type of letter comes with specific rules.

Steps to follow:

First put your return address at the top as a header that is found on most business letters . You can also indicate your sender address right in the center of the page. Be sure to include your phone number and email address.

Then place the date, indicate the full word of the month, instead of using an abbreviation. The date is indicated in the left margin of the page. Leave two blank lines between the sender's address and the date.

Next, the address of the company. Find out the name of the person you need to send the letter to. If possible, do not use the expression "To whom it corresponds" in the letter. Find out if the person is male or female. Do not use "Miss" in your address. For men, use "sir." For women, use "lady."

Jump two to three lines after the date, depending on the length of your letter (If possible, write your letter on one page). Write the name of the person to whom you are writing the letter . In the next line, put your position, for example, president, financial director or director of human resources, followed by the name of the company and the address.

Write the greeting of your business letter. Use "Dear" and "Mr." or "Mrs. with the person's last name, such as "Dear Mr. Pérez." Put two points after the name.

  • A simple phone call to a secretary or administrative can save you from dealing with your letter "To whom it may correspond" or the use of "sir" when the director of human resources is a woman. Do not ask to speak directly with the person to whom you are writing. It only explains to the person answering the phone that you are willing to write a letter and need a little more information.
