How to organize files

The organization of your file system can prevent the loss of documents . After you have organized the files, you can reduce the number of documents in your folders and only present what is important and essential to you.

Sort documents by your organization into groups, as this will help in the coordination of your categories or classes. Decide which documents should be placed in each category. Create sections in each category, as it will help you in the management and organization of your files.

Create sub-categories for each category. It may be difficult to organize a file system into categories and subcategories, but it will be convenient after the file system is organized. These file systems can be useful and in addition, you can simplify the file system by dividing into different subcategories such as place, date and name.

Categorize your folder system by using coded colors to make all important files and keep them separate from each other. Important colors will help you find any file in question at any time, and you will not have to check each folder when you need to locate a particular file.

Use three to five colors. Use a particular color for each category. You can use blue color for household files, red for medical files, green for financial files, and orange for personal files. Using the colors you can separate each category.

Use colored labels for hanging folders and white labels for labeling, as they can be easily read in white. Place each label in the tabulation position of the folder based on the categories you have created in alphabetical or numerical order.

Tips
  • You can place the label in your folder numerically, but avoid organizing the files in numerical order. You may prefer to have an alphabetical file system with names such as doctors, household finances, and personnel.
  • The use of a certain color such as red for medical records identifies the importance of the file, and will be easily accessible to reach them when the time comes for calls for an emergency.
