How to ask permission to write a letter of recommendation

When you write a letter of recommendation for an employee or a friend, you also bet both on your reputation, and your organization's reputation on that person's ability to succeed. When the person recommended is hired elsewhere and is not up to the expectations of their new company, their new manager could resent the company that recommended it. For this reason, some organizations require employees to ask their superiors for permission before writing a letter of recommendation on company letterhead.

Steps to follow:

Gather as much information as you can about the applicant. If it worked for you, examine your work record, your assistance, and any other records that you have access to. If I do not work for you, ask for a copy of your curriculum vitae and other records, such as assessments, that can be gathered so that you can show your boss. If your boss does not know you, you will be asked to write a background check before permission is granted to write the letter.

Ask questions about your new job application, such as what type of position are you looking for? and if the company or organization that receives your application is in direct competition with its own organization.

Approach your boss when he is not busy or make an appointment with him. Explain the situation and show the applicant's references, take your files and work records to the meeting if the person worked for the organization. If you are an employee or former friend and do not work at your workplace, bring your resume and any other support material for the meeting. Detail why you would like to write a letter of recommendation; explain what a competent employee did for your organization or why she had a good work history if she worked elsewhere.

Ask your boss for permission to write the letter for her. Make this request based on the evidence you have submitted, but if your boss asks for more information, get the information for him, before writing the letter.
