How to write a letter to request a meeting

Many people in society lead a busy life. Therefore, in order to meet with someone, it is almost imperative that you plan a certain time and place for a meeting. For informal meetings, a simple text message or phone call usually works. For formal meetings, a letter can be sent to make the request. Although this letter does not have to be long, you must address the reason for the meeting, the possible dates and times of meetings, and request follow-up.

Steps to follow:

Start the letter with the date, the address of the recipient and the greeting, for example, "Dear Mr. Victor" If you work in a place separate from the recipient, include your physical address and address of the recipient. The addresses are of vital importance if you are sending the letter, but it is not necessary if you are sending an email.

Start the body of the letter expressing your desire to meet with the person. For example, you could write: "I am writing this letter to request a meeting with you."

Indicate the reason you want to meet and the estimated duration of the meeting.

Offer potential dates and schedules available in writing, with a phrase such as: "During the week of March 21, I am available to meet any day between 9 a.m. and noon."

Request alternative dates if the potential dates do not match the person's schedule. You may write it this way: "If these dates do not match your schedule, please send me an alternative date and times."
